Lifecare Family Health & Dental Center as an immediate opening for a front office clerk at at our Canton, OH location.
Work hours are Monday- Friday 7:15-3:45.
Covid vaccine required or approved exemption.
Position Description Position Title: Front Office Clerk *Reports To: *Patient Access Manager *Classification: *Hourly; non exempt Attendance at HIPAA and compliance educational programs is a requirement of employment.
*SUMMARY:* The front office clerk is responsible for cross training in all positions of the front office.
Responsibilities include greeting and checking patients into the clinic, assuring that the proper intake forms are complete, collecting patient co-pays, scheduling and maintaining schedules for all medical, dental and behavioral health office visits, and assisting in maintaining medical records by scanning and indexing all correspondence into the EHR.
The front office clerk will also coordinate provider schedules with the Clinical Coordinator.
*DUTIES AND RESPONSIBILITIES:* * Greets anyone who presents at the front window, patients, visitors and employees.
Notifies appropriate staff of any visitors’ arrival.
* Patients presenting at the front window should be checked-in in the PM system.
Photographs will be taken of all patients with no picture in the EHR and PM system.
* Inquires of any changes in address, phone number or insurance/income information.
Makes updates and accurately enters patient information as needed in the PM system.
Collects co-pays as needed.
Notifies appropriate staff of patient arrival.
* Assists patients with completing information forms, as needed.
* Copies income verification to be scanned into the EHR and enters information into sliding fee scale.
Notifies billing department if patient has outstanding balance so adjustments can be made.
Notifies billing staff of insurance changes.
* Schedules medical, dental and behavioral health patient appointments as assigned.
Gives a clinical summary to all Medical and BH patients at exit scheduling.
* Coordinates daily provider schedules with Clinical Coordinator and providers.
* Makes confirmation calls to patients for appointments.
Reminds patient of any information that they need to bring with them to their appointment (Co-pay, current medications, etc.
).
Counsels with patients regarding outstanding balances and payments.
* Evaluates record requests for HIPAA compliance and releases information in compliance with all applicable laws.
* Assists in registering patients when needed.
* Assist in indexing incoming faxes into the EHR, and indexes them to appropriate provider.
* Inventories department supplies and maintains list of what needs to be purchased.
* Ensures that office equipment is functional, stocked with paper and that there is an adequate supply of all current medical and office forms.
Operates standard office machines and equipment.
* Sorts/collates printed materials/notices for distribution.
* Cross-trains in all areas of the front office.
* Participates in and serves on committees as assigned.
* Travels when necessary to meet operational needs.
* Performs miscellaneous job-related duties as assigned.
*MINIMUM JOB REQUIREMENTS:* * High school diploma or GED certificate, required.
* Associate Degree in Medical/Dental Office Management or Medical Assisting, preferred.
* Experience may be substituted for Degree.
* BLS certified or achievement of certification within the first 90 days of employment *KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:* * Ability to attend multiple tasks at the same time.
Ability to prioritize assignments and responsibilities to ensure compliance with established deadlines and protocols.
* Effective oral and written communication skills.
* Ability to work with persons from a wide diversity of social, ethnic and economic backgrounds is necessary.
* Mid level / advanced computer skills.
*CONDITIONS OF EMPLOYMENT:* * Must be willing to submit to post offer, pre-employment physical examination/medical history check if requested.
* May be required to submit to annual TB and rubella screening.
* Lifecare will provide Hepatitis A/B vaccinations; candidate may decline vaccinations in writing or may provide record of vaccination from previous employer.
* A pre-employment background investigation is required.
* Pre-employment drug testing is required.
*WORKING CONDITIONS AND PHYSICAL EFFORT:* Prolonged sitting or standing may be required.
Those physical movements and the degree of mobility, manual dexterity and hand-eye coordination normally associated with front office duties in a clinic office setting will be performed on a repetitive basis.
This also includes bending, twisting, reaching, lifting, pulling, pushing, and walking.
The ability to sustain moderate physical activity, handling of average-weight objects up to 25 pounds, and standing and/or walking for more than four (4) hours per day is expected.
The ability to distinguish letters and symbols as well as the ability to utilize telephones, computer terminals, fax machines, and copiers is required.
Working under stressful conditions as well as irregular hours may be required.
