Overview:
We are seeking a highly organized and detail-oriented Registrar/Office Administrator to join our team.
As an Office Administrator, you will play a vital role in supporting the efficient operation of our office and ensuring smooth administrative processes.
This position requires strong communication skills, the ability to work with diverse groups of people in a fast-paced setting, and a passion for public health.
Responsibilities:
- Manage office operations and ensure efficient workflow
- Coordinate and schedule appointments, meetings, and events, serves as receptionist to the office
- Receive all department monies, prepare bank deposits, maintain financial ledgers of disbursements and receipts for the department.
- Prepare purchase requisitions, enter into Auditor's software, manage all invoices, prepare vouchers and submit to Health Commissioner for proper signatures
-Assist with budget tracking and expense management, maintain accurate records and databases
- Prepare reports, memos, and other documents as needed
- Manage office supplies inventory and place orders when necessary
-Completes and mails billings to Medicaid, CMH and private insurance
- Support faculty and staff with administrative tasks as required
- Assists in preparation of applications, permits and licenses available through the Health Department and the Ohio Department of Health: Food Service, Food Service Vending, Retail Food Establishment, Food Handling, Swimming pools, Manufactured Home Parks, water wells/drillings/borings, septic permits and Tattoo/Body Art establishments.
- Completes all license reports within the required timeframe.
- Receive and maintain certification to be Registrar of Vital Statistics for the office
- Record all births and deaths in New Philadelphia, issue burial permits, certified copies of birth and death certificates utilizing IPHIS/EDRS system
- Completes all fiscal tasks associated with duties of the Registrar including quarterly reports and fees to the Treasurer of Ohio.
Requirements:
- High school education required, Degree in Accounting, Business or Public Health or related field preferred
- Previous experience working in an office or Health Department is a plus
- Proficient in basic computer programs including, Word, Excel, Powerpoint, Google Docs is a must
- Excellent organizational and time management skills
- Ability to work effectively with the public, staff, and external stakeholders
- Detail-oriented with strong problem-solving abilities
- Ability to handle confidential information with discretion
